Reserve Services for Faculty: Overview


The University Libraries offers an extensive range of services to faculty for Web-based electronic reserves and traditional, library-based reserve services. Go to the Reserves Services Web site for links to all reserve services: http://library.albany.edu/reserves/.

Electronic Reserves

The University Libraries' electronic reserves system provides "any time, any place" access to reserve materials to students via the Web. Journal articles and other "loose" paper reserve materials formerly circulated in manila folders are now scanned and added to the ERes system by library staff. The system provides optional mail, discussion board and chat room functions for each course. Faculty are encouraged to actively participate in the management of their ERes course pages by transferring word processing documents like syllabi and homework assignments, adding URLs, and posting other communications directly to the system. Integration with personal Web pages or WebCT course pages is simple. Faculty may apply for an ERes account on the Reserve Services Web site.

Access to ERes courses is restricted to enrolled students by password. The library will assign a password if one is not specified by the instructor; however, the instructor is responsible for distributing the password to students. There is one password per course.

Faculty who add electronic files should take into account the retrieval facilities available to students in the course. File size and format have an impact on downloading and printing. Library staff are available to provide guidance on optimal file size and formats.

Traditional Reserves at the Libraries

Books and media, both from the Libraries' or instructors' personal collections, may be placed on reserve for circulation at any of the three Libraries.

If you have difficulty locating a periodical, or if a book from the circulating collection appears to be missing, please contact Reserve staff for assistance, and they will make arrangements for holds, recalls, and searches. Recalls placed by the Library for items requested for reserve take priority over user-placed recalls and will be placed first.

Personal copy items are physically processed to identify them as Reserve items. This includes adhering stickers and labels to the item. The Library does not assume responsibility for replacing worn, damaged or missing items. If you are not prepared for this risk, please do not put your personal property on reserve.

Faculty are encouraged to refrain from placing high-priced textbooks on reserve due to recent incidents of theft and hoarding. One chapter of a textbook may be placed on electronic reserve for the semester.

Deadlines for Submitting Reserve Requests

Lists are processed in the order in which they are received. Reserve materials are accepted throughout the session or semester. To ensure that all items needed are on reserve by the beginning of each semester, we recommend submitting reserve request lists and all materials at least three weeks before the start of the semester. If the University Libraries must purchase an item requested for Reserve, expect a minimum of 90 days before it is ready for use.

Copyright

A single copy of an entire article, or an entire chapter from a book, or an entire poem may be photocopied by the instructor and placed on reserve. A copy of the University at Albany "Policy Concerning University Photocopying for Classroom Research and Library Reserve Use" is available online. Photocopying of copyrighted materials for Reserve use is permissible only within limits suggested by the Copyright Law of 1976 and accompanying educational guidelines. If an instructor wishes to use the same photocopies for more than one semester, permission from the publisher may be necessary, and permission must be obtained by the instructor. The University Libraries will not place materials on reserve that are deemed in violation of copyright guidelines.
