Anna Radkowski-Lee Graduate Assistantship

The Anna Radkowski-Lee Graduate Assistantship was created in memory of the long-time Personnel Officer for the University at Albany Libraries.
The University at Albany Libraries’ Department of Special Collections is seeking a graduate student for an in-person position to arrange and describe the Correctional Association of New York (CANY) Records, selectively digitize materials, promote collection usage, and serve on our department’s reference desk. The department initially acquired and processed over 100 years’ worth of CANY’s records in 1990. Since then, the collection has been highly used by researchers. CANY subsequently donated 50 additional cubic feet of material for the collection, the majority in 2024.

Responsibilities
- Survey new accession of Correctional Association of New York (CANY) Records and existing CANY collection and develop a processing plan.
- Arrange and describe records according to DACS (Describing Archives: A Content Standard), interfile new records with existing collection, and weed duplicates and materials not appropriate for archival retention. Rehouse physical materials and ingest digital materials, as necessary. Process both physical and digital records.
- In consultation with supervisor, identify any personally identifiable information (PII) and other information that must be restricted from public availability.
- Selectively digitize high value materials in the collection such as CANY’s annual reports.
- Assess preservation concerns and address routine preservation needs of collection. Work with Coordinator of Preservation Services to treat items with larger preservation risks.
- Publish updated finding aid. Remove and clarify outdated language from the abstract, scope and content note, organizational history, series description and other “upfront” elements in existing finding aid.
- Promote the expanded collection’s availability to the University community, especially to the School of Criminal Justice and Department of History, working with the Outreach and Marketing Librarian and that librarian’s team as appropriate.
- Serve on the department’s reference desk, providing reference services to all our collections to a diverse group of domestic and international researchers, including University faculty, students, and staff.
Requirements
Minimum Requirements:
- Must be enrolled in a University at Albany graduate degree program on a full-time basis during each semester of work.
- Must have experience creating and managing structured information in spreadsheets.
- Must be able to maintain confidentiality with sensitive or restricted information.
- Must be self-motivated and able to complete tasks in a timely manner and make progress with minimal supervision.
- Must be able to frequently lift or shift boxes that weigh 25 pounds or more, occasionally ascend/descend and work atop a step ladder to shelve and store the boxes and frequently move/push a book truck with boxes from one location to another within the department.
- The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation.
Preferred Requirements:
- Interest in working within the library and information sciences field, specifically in special collections, archives, or digital libraries.
- Expected Enrollment in the Masters of Science in Information Science program in the Archives and Records Management or Library and Information Services concentrations.
- Understanding of Describing Archives: A Content Standard (DACS).
- Familiarization with the ethical importance of reparative work to descriptions of materials. Conveying transparency of actions taken during processing with respect to privacy and cultural sensitivity.
Hours/Composition:
- 20 hours per week. Schedule is flexible but all work hours must be performed during department’s public hours (Monday-Friday, 9am-5pm)
- Stipend of $10,779 for the 2025-2026 academic year and a tuition scholarship for up to 9 graduate credits per semester at the in-state rate.
- The work of this position is intended to be performed in person and on-site at the Science Library (Uptown Campus).
